Hotel Amigo is seeking an Assistant IT Manager who will play a key role in ensuring the seamless operation and continuous optimization of the hotel’s IT and automation systems.
Your key responsibilities
Rocco Forte Hotels are a collection of iconic hotels that respects the individuality of location and its team members, encouraging them to be their natural selves while providing a local, authentic experience to our guests.
Responsible for coordinating the introduction, implementation, on-going management and best practice use of Information Technology and telecoms to protect and manage the use of IT within the business effectively.
Working closely with the Regional IT Manager, this position ensures that IT contributes actively to the profitability of the hotel, be it through revenue enhancements, productivity gains and cost controls through the implementation and use of Information Technology and telecoms.
Specific Duties:
Perform any combination of the following duties to provide support to system users:
- Investigate and resolve computer software and hardware problems.
- Receive telephone calls, instant messages and emails via the defined support call logging process from users having problems using computer software and hardware or inquiring how to use bespoke software packages.
- Communicate with users to ensure procedures are being followed. Answer questions, applying knowledge of software, hardware and procedures.
- Determine whether the problem is caused by hardware, such as workstation, printer, cabling or telephone, or by user error. Liaise with external technical support teams in order to resolve problems.
- Communicate with relevant software and hardware support helpdesks to request service for defective products or applications, as well as proactive system updates and maintenance.
- Test software and hardware to evaluate ease of use and whether the product will aid users in performing work.
- Write or revise user training manuals and procedures. Develop training materials such as exercises and visual displays. Train users on hardware and software use, or recommend outside contractors to provide training. All the above in conjunction with HR and Training department
- Install, monitor, update and/or replace computers, software and peripheral equipment as required.
- Maintain an up-to-date inventory of all laptops, desktops, servers, credit card terminals, printers, mobile devices, POS tills, and network equipment.
- Monitor network access, load and stability to ensure network service is available to all system users. Resolves all network issues on site by means of hands-on troubleshooting and external vendor delegation where required.
- Ensure smooth running of all systems on a day-to-day basis, including Back of House wired and wireless networks, landline and wireless phone networks, antivirus and encryption solutions on all company computers and servers, compulsory and optional Windows patches on all company computers and servers, public and conference Internet access, guestroom and restaurant entertainment systems, PMS solutions, F&B POS and table booking solutions, credit card terminals, keycard cutting systems, PMS interfaces, networked and standalone printers, server room temperature, VPN connection stability, all required server backups.
- Review and sign all relevant invoices.
- Investigate new services or applications that may be of benefit to the hotel and group users supply quotes, advise senior managers of benefits and procure services or applications accordingly.
- Communicate with potential suppliers to provide quotes for equipment or services.
- Carry out annual audits of all hardware and software.
- Review annual maintenance and support contracts and revise accordingly.
- Produce departmental budget for the upcoming financial year.
- Maintain regular contact with suppliers and support teams to ensure ongoing quality of service.
- Maintain client relationships with suppliers, building up close working relationships, ensuring good communication.
- Communicate regularly with IT colleagues at sister sites to discuss issues, share knowledge and exchange ideas for the benefit of individual sites and the group.
- Create, amend and disable user accounts as required, ensuring the principle of minimal privilege is adhered to, to protect company data and systems integrity.
- Communicate regularly with Regional IT Manager and Group IT Operations Manager to discuss training needs and agree relevant training plans.
- Deploy new systems as guided by Regional IT Manager and Group IT Operations Manager, in coordination with external suppliers, engineers and trainers.
- Maintain communication skills with system users both on site and at sister sites.
- Attend to guest needs as required. This includes assisting in establishing Internet access in rooms, public spaces and function areas, responding to guestroom entertainment system queries, assisting in connecting guests’ personal devices to guestroom TVs, and ensuring banqueting function tech requirements are met.
- On call 24 hours a day, 7 days a week, for business-critical emergencies. Contactable by company mobile phone.
